About the role:

The Finance Manager has primary, day-to-day responsibility for all financial-related activities for the organization. This includes developing and monitoring budgets, as well as managing cash flow, forecasting, reporting, and all bookkeeper related functions like managing payroll. Working directly with our part-time Controller, Director of Operations, and Executive Director, the Finance Manager will ensure that we manage our resources in the most beneficial way to maximize our funding to meet our mission. We are seeking someone with experience in nonprofit accounting and financial management software and who has an entrepreneurial mindset.

Essential job functions:

The list that follows is not intended to be comprehensive; it is intended to provide a representative summary of the major responsibilities of the position. Incumbents may not be required to perform all roles listed, and may be required to perform additional, position-specific tasks.

  • Assist the Executive Director in preparing and managing annual, grant, and program budgets, along with supporting financial models, e.g., for revenue projections. 

  • Provide ad-hoc and monthly financial reports and forecasts to the Executive Team and Board of Directors.

  • Manage accounts receivable, payable, and expense report processes - including invoice review, W-9 collection, coding, data entry, and processing payments.

  • Reconcile company credit cards, collect receipts, and assess descriptions for coding and then input into QuickBooks.

  • Process organization’s payroll bi-weekly in the Gusto system.

  • Maintain files for all grants and perform draw downs on grants and submit quarterly financial reports for all federal grants in coordination with the Controller.

  • Prepare journal entries and provide proper supporting documentation.

  • Assist Controller to reconcile bank accounts.

  • Manage the improvement and implementation of financial policies and procedures as recommended in the recent review by the auditors.

  • Liaise with the auditors for the annual audit.

  • Support Executive Team in financial decision-making and systems development and improvement.

  • Support Controller in preparation for and completion of the annual tax returns.

  • Assist Controller in ensuring legal and regulatory compliance of the financial functions.

Additional requirements:

  • Meet baseline responsibilities and requirements within a set schedule.

  • Demonstrate Mac computer and program skills, including Quickbooks desktop and online, Microsoft Office Suite, Salesforce (or equivalent) database management, presentations.

  • Initiate NSWOP and criminal history check prior to hire.

  • Participate in an L.A. Works Taskforce (an organization-wide, collaborative team).

  • In-person support at L.A. Works’ large-scale signature events and other organization-wide commitments when necessary.

  • Any and all other duties assigned by the supervisor.

Required education and experience 

  • 5+ years of professional experience with finance and fund accounting (CA 501(c)(3) preferred) for an organization with a $4 M+/year budget.

  • Bachelor’s or Master’s degree in accounting or finance.

  • Federal and/or public agency grant reporting.

  • Thorough knowledge and experience implementing GAAP and strong internal controls.

  • Knowledge of non-profit government funded accounting and Uniform Administrative Requirements, cost principles and audit requirements for federal awards.

  • Proficiency in accounting software (particularly QuickBooks).

Classification and salary: The Finance Manager is a full-time exempt employee of L.A. Works, is employed at-will, and reports directly to the Executive Director.  As an employee of L.A. Works, the Finance Manager is subject to the policies and procedures outlined in the Employee Handbook. Targeted hiring salary is $85,000.
